How to create an institution account
Creating an institution account gives your organisation a central workspace for managing users, courses, assessments, invigilation and collaboration.
How to do it
- 1Go to the Ann-Connect sign-up page.
- 2Select Create an Organisation Account.
- 3Enter your organisation's name and institutional details.
- 4Provide the administrator's name, work email address and contact details.
- 5Create a secure password.
- 6Verify your email address using the verification link sent to you.
- 7Sign in to the Ann-Connect Admin Console.
- 8Complete your organisation profile and select the products you want to use.
- 9Invite additional administrators or team members.
Once the organisation has been created, the primary administrator can manage users, permissions, integrations, billing and platform settings.
How to create your first workspace and brand it
Your workspace is the environment where your organisation manages its Ann-Connect activities.
How to do it
- 1Sign in as an organisation administrator.
- 2Open Organisation Settings.
- 3Select Workspace / Branding.
- 4Add your organisation name, logo and preferred contact details.
- 5Upload your logo in the supported format.
- 6Add your organisation's colours if custom branding is available on your plan.
- 7Configure the name students and staff will see when accessing the platform.
- 8Save your settings.
- 9Preview the workspace before making it available to users.
For organisations managing multiple campuses, departments or business units, separate workspaces or tenants can be created where supported by your plan.
How to add users and assign roles
Administrators can invite users individually or add multiple users in bulk.
Available roles
Administrator
Manages organisation settings, users, permissions, integrations and platform administration.
Instructor / Lecturer
Creates courses, learning content and assessments and manages learners.
Marker
Reviews and marks student submissions where manual marking is required.
Invigilator
Manages or monitors examination sessions and reviews relevant examination evidence.
Student
Accesses assigned courses, learning content, meetings and examinations.
How to add a user
- 1Open Users from the administration dashboard.
- 2Select Add User.
- 3Enter the user's name and email address.
- 4Select the appropriate role.
- 5Assign the user to the relevant course, department, workspace or examination.
- 6Select Send Invitation.
- 7The user receives an invitation to activate their account.
For larger institutions, administrators can use bulk import to upload multiple users at once.
How to configure SSO
Single Sign-On allows users to access Ann-Connect using their existing institutional credentials rather than maintaining a separate Ann-Connect password.
Ann-Connect can be configured with supported identity providers using SAML or OIDC.
How to configure SSO
- 1Sign in as an organisation administrator.
- 2Go to Organisation Settings → Authentication / SSO.
- 3Select SAML or OIDC.
- 4Enter the configuration details supplied by your identity provider.
- 5Configure the required domains and user attributes.
- 6Map identity-provider groups to Ann-Connect roles where applicable.
- 7Save the configuration.
- 8Test the connection using a test account.
- 9Once successful, enable SSO for your organisation.
Important
Keep an administrator account available for recovery before enforcing SSO across the organisation.
How to configure your region and data residency
Data residency settings determine the geographic region in which supported organisational data is stored and processed.
How to configure it
- 1Open Organisation Settings.
- 2Select Data & Privacy.
- 3Open Region / Data Residency.
- 4Select the available region that meets your organisation's requirements.
- 5Review the applicable data-processing and retention settings.
- 6Save your configuration.
For regulated organisations, administrators should confirm that the selected configuration meets their contractual, institutional and regulatory requirements before deploying the platform.
How to create a course
Courses provide a structured environment for delivering learning content, activities and assessments.
How to do it
- 1Sign in to your Ann-Connect workspace.
- 2Open Courses.
- 3Select Create Course.
- 4Enter the course name and description.
- 5Add the lecturer or instructor.
- 6Create your modules or sections.
- 7Upload your learning resources.
- 8Configure enrolment and access rules.
- 9Add assessments or learning activities.
- 10Publish the course when it is ready.
You can keep a course in Draft while preparing it and publish it when students are ready to access it.
How to upload lecture videos and learning resources
You can add videos, documents and other supported learning resources to a course module.
How to do it
- 1Open the relevant course.
- 2Select the module where you want to add the content.
- 3Select Add Content.
- 4Choose the appropriate content type.
- 5Upload your file or provide the required media source.
- 6Add a title and description.
- 7Configure who can access the content.
- 8Save the resource.
- 9Preview it before publishing.
For lecture videos, make sure the video has finished processing before making it available to students.
How to enrol students
Students can be enrolled individually, in groups or through supported integrations.
Individual enrolment
- 1Open the relevant course.
- 2Select Students / Enrolments.
- 3Select Add Student.
- 4Search for the student's account or enter their email address.
- 5Select the appropriate access level.

For large classes, prepare the required student information in the supported CSV format and upload it through the bulk-enrolment function.
The system validates the file before creating the enrolments and reports any records that need correction.
How to create your first exam
Learn allows administrators and instructors to create and manage digital examinations.
How to do it
- 1Open Learn.
- 2Select Create Exam.
- 3Enter the examination name and instructions.

- 9Review the examination using the preview function.
- 10Save the examination.
- 11Run a test or pilot before the live examination.
- 12Publish the examination when everything has been verified.
How to prepare an offline exam
This is particularly important for institutions where students may experience unreliable connectivity.
How to do it
- 1Create and configure the examination in Learn.
- 2Confirm that all questions, instructions and examination settings are correct.
- 3Select Prepare Offline Exam.
- 4Generate the examination package.
- 5Download or distribute the package through the approved deployment method.
- 6Install or open the required Learn examination client on the student's device.
- 7Run a pilot examination with representative student devices.
- 8Confirm that students can access and complete the assessment.
- 9Confirm that examination data synchronises when connectivity becomes available.
- 10Distribute the final examination package for the live session.
Recommendation
Always run a pilot before a high-stakes examination, particularly when using offline deployment for the first time.
How to run your first pilot exam
A pilot lets your institution test the complete examination workflow before students sit the actual assessment.
Pilot checklist
Before the pilot:
- Confirm student accounts.
- Confirm examination questions.
- Test the examination duration.
- Test the required devices.
- Test the offline workflow.
- Test connectivity interruption and recovery.
- Test invigilation if enabled.
- Confirm data synchronisation.
- Confirm marking and result export.
During the pilot, use a small group of representative users and devices.
Afterwards, review the results and resolve any issues before the live examination.
How to enable online invigilation
Online Invigilator can be enabled when an examination requires remote monitoring.
How to do it
- 1Open the relevant examination.
- 2Go to Invigilation Settings.
- 3Select Online Invigilation.
- 4Configure the monitoring requirements.
- 5Enable the required evidence and monitoring features.
- 6Configure candidate consent and privacy notices.
- 7Save the configuration.
- 8Run a test session.
- 9Provide students with the required instructions before the examination.
- 10Start the examination.
Depending on the configuration, available monitoring capabilities may include video and audio recording, image capture, browser lockdown, copy-and-paste restrictions, transcription, location information and AI-assisted analysis.
How to set up Venue Invigilation
Venue Invigilator is designed for examinations taking place at physical examination centres.
How to do it
- 1Create or open the examination.
- 2Select Venue Invigilation.

- 10Monitor the examination from the invigilator interface.
- 11Close the session after the examination.
- 12Review and submit the examination record.
How to schedule a Room meeting
Room can be used for meetings, virtual classrooms, training and collaborative sessions.
How to do it
- 1Open Room.
- 2Select Schedule Meeting.
- 3Enter the meeting title.
- 4Select the date and time.
- 5Add participants.
- 6Configure meeting permissions.
- 7Enable features such as screen sharing, polls or breakout rooms where required.
- 8Select Schedule.
- 9Share the meeting invitation with participants.
Participants can join through the supported Room client or web experience.
How to view engagement insights in Room
Room can provide engagement information during supported sessions.
How to do it
- 1Start or open the relevant meeting.
- 2Open the Engagement panel.
- 3Review the available participant engagement indicators.
- 4Monitor changes during the session.
- 5After the meeting, open the meeting analytics.
- 6Review engagement trends alongside the meeting transcript or summary where available.
Engagement indicators should be treated as signals rather than definitive judgments about an individual's attention or behaviour.
How to connect Moodle, Blackboard or Canvas
If your organisation already uses an LMS, Ann-Connect can be integrated rather than requiring administrators to manage every workflow separately.
How to do it
- 1Open Organisation Settings → Integrations.
- 2Select your LMS.
- 3Choose the appropriate integration method.
- 4Enter the credentials or configuration information required by your LMS.
- 5Authorise the connection.
- 6Map the relevant courses, users and assessment settings.
- 7Test the integration using a test course.
- 8Confirm that grades and other supported information are synchronising correctly.
- 9Enable the integration for production use.
For organisations requiring a custom integration, Ann-Connect's open API can be used where the required functionality is supported.
